How to Connect QuickBooks Online to Konnectify

This section explains how to connect your QuickBooks Online account to Konnectify so you can use it as a trigger or action in your workflows.

Prerequisites

Before creating the workflow, ensure you have:

  • A valid QuickBooks Online account
  • Admin access to your QuickBooks Online company
  • Permission to authorize third-party applications
  • Access to the Konnectify platform
  • Permission to create and manage connections in Konnectify

Step 1: Connect QuickBooks Online in Konnectify

  1. Log in to Konnectify
  2. Click New on the top-right corner and select Connections
  3. Select QuickBooks Online
  4. Enter:
    • Connection Name
      Enter a name for your reference (e.g., my quickbooks connection). This helps distinguish between multiple QuickBooks connections inside Konnectify.
  5. Click Continue
  6. Authorize Konnectify using OAuth by logging into your QuickBooks Online account
  7. Select the appropriate Company and grant required permissions
  8. Click Connect

Step 2: Create a New Konnecter

  1. Click New on the top-right corner and select Konnectors
  2. Choose a trigger app (for example: CRM, Webhook, Forms, or QuickBooks Online)
  3. Select the required trigger event (for example: New Invoice, Updated Customer, New Payment, etc.)
  4. Choose the QuickBooks Online connection you created and click Continue

Step 3: Add and Configure QuickBooks Online Action

  1. Click Action
  2. Select QuickBooks Online
  3. Choose an action (for example: Create Invoice)
  4. Select the Connection and click Continue
  5. Fill all mandatory fields such as:
    • Customer Reference
    • Line Items
    • Amount
    • Account
    • Transaction Date
    • Payment Method
    • Vendor or Customer ID (depending on action)
Note: All required fields must be filled with valid values. If any mandatory field is left empty or contains invalid data, the action may fail during execution.

Step 4: Value Mapping and Workflow Testing

  • Map dynamic fields from the trigger output
  • Use static values only when required
  • Run the workflow using sample data
  • Verify execution status and response from QuickBooks Online

Step 5: Activate Konnector

  • Save the Konnector
  • Turn the workflow ON
  • Perform a real-time test from the trigger source
  • Confirm that the data is reflected in QuickBooks Online
